How long are certificates of completed courses accessible?
Certificates are always available to students after logging into their user account. The company account administrator has access to all certificates, including archived user accounts.
How are newly hired employees billed during the year?
When you sign up for the STANDARD and PREMIUM plans you only pay a fee for 4 licenses, this is actually one extra license compared to the FREE plan. The additional licenses are only charged after you register them. This is for latecomers, we don't want to charge a license fee for employees who procrastinate or don't sign up. Those who register later pay less. For example, if you registered as an organization on June 1, 2023 and the last employee doesn't register until May 1, 2024, you pay half.
How do I cancel an employee's account in the plan if their employment is terminated?
In case of termination of employment (employee, freelancer) you can archive his account and the freed user license can be used for another employee. The certificates of the archived users are still available.
Why is the monthly payment so high compared to the annual payment?
Corporate education is a long-term, conceptual activity. That is why at Knowspread we prefer long-term relationships with our clients and our licensing policy corresponds to this. The monthly payment is mainly intended for organizations that need to train a large number of employees on a one-off basis, for example temporary workers hired to organize an exhibition or trade fair. A common example is the training of interviewers for marketing surveys or the one-off training of a large number of business partners or salespeople when launching a new product.
Can Knowspread be integrated with a HRIS or Active directory or other authentication service?
Yes, Knowspread has a REST API and integrated Webhook services that allow integration with both the HRIS, which receives information about graduation and results, and authentication services. Using the API documentation, some clients are able to perform the integration with their own IT specialists without any problems, of course we are ready to help with the integration. However, a cost of between 30 and 60 thousand CZK is to be expected.
Prices are without VAT or including VAT?
Prices are exclusive of VAT, since the platform is international VAT is charged according to the user's location, for the Czech Republic it is 21%.
What does it mean that course licenses are "used up"?
Courses that are part of the paid price plan (STANDARD, PREMIUM), are available in full even for new users. So, if you have 100 employees who take 100 GDPR courses and during the year 10 employees leave and 10 new ones come in, there is no need to purchase courses for newcomers. Once you archive a user, their license is released to the newcomer, including all content. However, if you purchase, for example, 100 Burnout Syndrome courses from the catalog for your employees, and during the year 10 employees leave and 10 new employees arrive, you will need to purchase licenses for those 10 new hires. Content is always purchased from the catalog in a specific number of licenses per named user. A license purchased in this way is " used up" by completing the course. Other authors besides Knowspread sell content in the catalog, and their payment is based on the number of courses purchased. Therefore, the number of courses paid for must essentially correspond to the number of certificates issued, and these are always in the specific name of the student. Similarly, course licenses included in the FREE plan are used up. Thus, you cannot train 100 people in a company in occupational safety for free by gradually archiving users and using the released licenses for the untrained. For every user over 3, you must purchase the courses in the catalog. In contrast, in the PREMIUM pricing plan, all Knowspread courses are free with an unlimited number of licenses, they are never used up and the number increases by 5-10 courses each year. For a stable license price, your corporate training library is thus expanded.
How does the PREMIUM plan differ from the STANDARD plan?
In the PREMIUM price plan, all Knowspread courses are free with unlimited licenses, including annual additions of 5-10 new courses. For courses from other authors, we try to negotiate discounts for PREMIUM price plan users.
Can your content be used for another e-learning platform?
Yes, our content can be used for other platforms. The content is licensed for internal use only on one instance of the e-learning system (LMS). We no longer limit the number of times it can be studied. If the course is completed with a valid certificate verified by an authorized person, it can only be consumed unaltered in SCORM format. The authorized person is responsible for the content of the course that he/she knows. Therefore, a certificate cannot be applied to content that is modifiable by the user. However, we also supply content that the user can modify themselves. In ppt, doc, xls, pdf formats; videos in mp4 format and graphic elements in svg, jpeg, png formats. However, this content cannot logically include a certificate validated by an authorised person. In our license conditions we only have a requirement to indicate the author of the content, i.e. "Knowspread.cz s.r.o.". The price of content for one LMS instance ranges from 30-120 thousand CZK depending on the scope and processing of the course. The list of courses we deliver for other platforms is available here.
Why don't I enter the number of licenses when I buy?
Our licensing policy is based on payment for active users only. So you only choose a price plan and licenses are charged automatically as you add users, pro-rated according to their registration date. You can set a limit on the number of users directly in the application. The limit is used as a trigger to send an informative email, "Your set user limit has been reached, would you like to increase it or archive inactive users?" The limit is especially useful if you invite users to Knowspread using access links. Links are one of the most useful features of Knowspread. They allow you to implemement simple and fast. Simply send an informative email to all colleagues with the generated link or place the link on your intranet (similar to links to YouTube videos or Google docs). Users click on the link to take themselves into the system. All they have to do is enter their name and email. The downside is that anyone with a link can register. Therefore, in this case, it is advisable to select a limit on the number of users so that you can keep track of whether more employees, contractors or temps have signed up for your organization than you anticipated. You can then easily identify those who do not need access in the student management. You can then easily archive such users. An archived user will not log back into your organization with the access link until the manager reactivates them.
